Where AI Actually Makes Sense for Businesses

Start with a repeated task and a measurable outcome. Then decide whether AI is the right tool for the job.

Map the work before choosing a model

The useful question is not “Where can we add AI?” It is “Which part of this workflow consumes effort without adding enough value?” Follow a task from its initial request through review and completion. Identify where people search through documents, rewrite similar information, or sort incoming messages.

Separate predictable rules from tasks that require interpreting language. A fixed approval threshold may need ordinary automation. Turning a long support conversation into a draft summary is a different kind of problem. Choose the simplest approach that meets the need.

Begin with assistance people can check

A practical first experiment might draft a reply from approved reference material, summarize a meeting for review, or suggest categories for incoming requests. These are proposals for a pilot, not promises that a model will handle every case correctly.

Make the source material visible where possible, and give the reviewer a straightforward way to edit, reject, or escalate the result. Be explicit about who remains responsible for the final action. An assistant should fit the existing workflow rather than create a second queue nobody owns.

Decide what a good result looks like

Gather representative examples, including incomplete requests and ambiguous wording. Define what makes an output useful before comparing tools: relevant information, accurate references, suitable tone, and a clear indication when there is not enough context.

Measure the whole task, including review and correction time. A fast first draft is not an improvement if checking it takes longer than doing the work directly. Compare the pilot with the current process and record where it fails, not only its best demonstrations.

Set boundaries before expanding

Choose which information the workflow needs and which actions it is allowed to take. Review data handling and access requirements before connecting business systems. For a first pilot, keep consequential actions behind an explicit review step and provide a manual fallback.

Expand only when the workflow has a clear owner, a reliable review process, and evidence of practical value. Sometimes the right next step is a better search experience or a simpler form. The aim is less friction in the business, not a larger number of AI features.
